Background
The Project Management Office (PMO), within the Strategy, Results and Learning (SRL) Unit, was established in 2024 as ICMPD’s central hub for project management support. It standardises and improves project management tools and processes to ensure they are user-friendly, efficient, and effective. As the focal point for all matters related to Project Management, the PMO offers support, training, and guidance, and enables strategic decision-making. It bridges the gap between projects, portfolios, and organisational governance.  

Working as a team member of the Strategy, Results and Learning (SRL) unit, the intern will in particular contribute to developing and maintaining the ICMPD-internal SharePoint-based PMO communication site, help creating a central knowledge hub for project teams, and support the development of a Project Management Handbook for the whole of ICMPD.

Besides the PMO, the intern will contribute to various initiatives within the SRL unit and its teams for Knowledge Management (KM), Strategy implementation, and Monitoring, Evaluation and Learning (MEL).

Objectives

  • Support the PMO in building and maintaining a SharePoint communications site to improve team collaboration and information sharing.
  • Contribute to the development of a project management handbook to standardise processes.
  • Contribute to project development initiatives and process standardisation.
  • Support file migration, organisation and workflow automation through SharePoint and related tools.

Task and Responsibilities
The intern will be responsible for the following tasks:

  • Designing, configuring, and maintaining SharePoint pages, lists, and libraries.
  • Researching, drafting and structuring project management standards (templates, workflows, guidance, best practices) for user-friendly navigation and accessibility.
  • Structuring document libraries using metadata, taxonomy and content types.
  • Collecting project documents, including of past projects, and importing them to document libraries with properly assigned metadata.
  • Performing other tasks as assigned.

Learning Outcomes
Through this internship, the intern will have the opportunity to:

  • Gain hands-on experience in SharePoint site administration, design, and user support.
  • Develop an understanding of PMO functions, project lifecycle, and standardisation of processes.
  • Strengthen technical writing and documentation skills through handbook contributions.
  • Gain exposure to enterprise project governance and digital transformation initiatives.
  • Improve communication and teamwork skills within an international, multicultural environment.

Reporting Lines
The intern will report to the Project Management Officer in SRL/PMO for day-to-day tasks, under overall supervision of and coordination with the PMO Manager.

The intern will receive regular feedback, mentoring and guidance throughout the internship to support their professional development.

Qualifications and Experience

  • Recently completed or currently enrolled in a Masters programme in Project Management, Business Administration, Information Management, Knowledge Management, Information Systems, Organisational Development, Digital Transformation, Public Administration or a related field.
  • Experience creating or editing written documentation, guidance, templates, or reports.
  • Experience structuring content or working with collaborative online platforms / websites.
  • Experience handling document repositories, shared drives, or content libraries.
  • Familiarity with project management methodologies, tools, or project documentation (an asset).
  • Familiarity with SharePoint page creation, document libraries, lists, or content management (an asset).
  • Familiarity with metadata, document classification, taxonomy, or records management concepts (an asset).
  • Familiarity with workflow automation tools such as Power Automate (an asset).
  • Familiarity with PowerBI and similar dashboards (an asset).
  • Strong analytical and organisational skills, and attention to detail.
  • Ability to follow instructions and work independently.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a multicultural environment.
  • Proficiency in English; knowledge of other languages is a plus.

Compensation:
ICMPD offers EUR 500,00 per month for a 40 hours per week internship position, including 1.5 leave days per month. Leave should be requested by email in advance with lead/supervisor. ICMPD will provide accident insurance for the duration of the internship. Travel expenses will not be reimbursed, and health insurance is the intern\'s responsibility.

PLEASE NOTE: An intern is not a staff member of ICMPD. An intern who is a non-citizen of the country in which the duty station is situated is responsible for obtaining any necessary visas and for complying with local laws regarding registration with the local authorities.
